QRG - CRM IQ - Unit Transfer Process


This QRG is about how to properly complete the unit transfer process when transferring a current resident into a new unit at the same property.


Send Transfer Request Form


1. Go to the resident profile and select "Custom Tables". From the "Custom Tables" tab, select the "Transfer Request" tab.


2. Fill out all required information and select "Save".


3. Go to "Documents" in the lefthand column and from the "Add Documents" drop down, select "RentCafé E-Sign from Library". This will bring you to the documents library and from there, hit "Select" next to the Transfer Request Form to prepare it for signatures.


4. Confirm that all leaseholders are listed. If everything looks correct, select "Save & Next".


5. Take a moment to preview the Transfer Request Form to confirm all details are accurate -- if they are, select "Send" and go back to "Documents" to confirm that the document has been sent to leaseholders for signatures.


Completing the Unit Transfer Process


1. Once the Transfer Request Form has been filled out and countersigned, under the "General" drop down tab in the lefthand bar, select "Manage". Using the blue "Manage" drop down, select "Unit Transfer" from the list.


2. A "Transfer Unit" flyout will appear. First, under "Current" fill out the intended Move-Out Date (date they would like to end their current lease), Notice of Transfer Date (the day the current resident gave notice about them looking to transfer), and transfer reason.


3. Next, fill out "To Property" (the name of the property), "To Unit" (the unit they are transferring into), and Move In Date (the day they are officially moving into the new apartment).


4. Next, review the "Transfer Options" information. You must uncheck all rentable items, even if the resident will keep the same rentable items with the transfer. Also, be sure to uncheck the New Leasing Commission box. Review all information to confirm it looks accurate, if it does, select "Review & Post".


Roommates: Roommates will be automatically transferred unless they are unchecked. Be sure to review this information before moving forward.


Rentable Items: If the resident would like to keep their rentable items, put the rentable item on "Release Notice" to release the day before the new lease begins. 






5. Review all information before posting the transfer. If everything looks correct, select "Post Transfer".


Once the transfer has been posted, it will create a new "Future Resident" status account and the resident will now see and have access to two accounts on their resident portal.
