QRG - CRM IQ - Renewal Part 1: Create Batch & Renewal Notices 


Once your LRO renewal batch is committed, you will need to create and post the same batch in CRM. This QRG will walk through this process.


Generating Renewal Batch 


1. Select Residents Menu > Renewals (BETA).  

 

 

2. Select Manage Proposals > 91-180 date range under the Expiring Leases box to sort for the residents that need to have a proposal generated. 


Select the check box adjacent to the Resident column. Select Create Proposal.

 

 

3. Enter the information in the following field. In this example, the batch dates from LRO are 5/1/25-5/15/25. Once complete, select Save

4. Under the Unposted filter to on the Renewals Dashboard, find the batch you would like to review/edit. Select the arrow next to the batch to review the whole batch and the residents in it.


Select the arrow under Actions of the batch you want to review.


5. From the list of proposals, select the proposal you'd like to edit using the looking glass.


To edit an existing rentable items charge amount review the steps below, the only item needing adjustment is the “New Amount” charge field for the applicable rentable item.

 

 

To add a new rentable item at the time of renewal  

 

 

6. Once the charge is added, select Save

 

 

7. From the Unposted filter, select Save & Post.



Generating Renewal Letters 


1. Now that the batch is created in CRM IQ, the renewal offer letters can be generated and emailed from the Agent Dashboard under Reports > Residential Correspondence.  


2. Enter the information in the following fields. Be sure to pick the correct Report Type for your location and situation:  

  • CS COLORADO MTM Renewal Letter 

  • To be used by COLORADO properties only 
  • Due to the Rent Control laws, only 12-month leases are offered 
  • Households with expired leases, currently on MTM 
  • CS COLORADO Renewal Letter 
  • To be used by COLORADO properties only 
  • Due to the Rent Control laws, only 12 month leases are offered 
  • Households with an upcoming lease expiration and being offered a renewal 
  • CS Renewal Letter To be used at all non-Colorado properties 
  • Households with an upcoming lease expiration and being offered a renewal 
  • CS Renewal Letter MTM 
  • To be used at all non-Colorado properties 
  • Households with expired leases, currently on MTM 

 


3. Review each letter by clicking the “Letter” column hyperlink to open.

4. Click Toggle Filter Picture 1, Picture to return to the correspondence filter.

5. Click Generate Documents for a 2nd time.

6. Click Toggle Filter Picture 1, Picture for a 2nd time.

7. Now toggle on Attach Documents and Show on Portal then click Generate Documents for a 3rd time.

8. Click Toggle Filter Picture 1, Picture for a 3rd time.

9. The Email Documents button is now available. Click Email Documents to email all generated letters at once.

10. Renewal letters are now available in the resident’s profile > Documents > Attachments and in the resident’s portal as a viewable document. 


11. If you must revise or send another statement, first you must delete the document on the Resident Profile > Documents > Attachments.
