QRG - CRM IQ - Applicant Screening - New Screening vs. Updating Results in CRM IQ
This document is to serve as a guide to determine whether you need to run a new screening report or update results after a report has already been initiated.
Personal Information Update:
You will need to run a new screening report if you modify any personally identifiable information for your applicant, including:
- Spelling of their name
- Date of birth
- Social Security Number
- Current Address
If an applicant’s personal information changes, the screening results for credit, criminal, civil, and RentBureau history could change as well. You can make the modification within the Application Form and save and then run a brand-new screening. It’s important to only run a new report when necessary as running multiple screening reports can cause multiple inquiries on your applicant’s credit report.
Note - Single letter first/last name:
- The system cannot process single letter names
- In these situations, Yardi Screening recommends as best practice to either screen them with the Last name in both the First and Last name fields or if they provided a middle name, you can use that in the first name field
- If an initial screening was completed and a pending result rendered due to this system restriction, a new screening will need to be run as a name change is considered a unique personal identifier
Non-Personal Information Update
You should run an “Update Results” report if you need to modify anything other than the personally identifiable information listed above, such as:
Income amount (see below for more details)
Residency or Employment History Time frames/Verifications
Unit rent amount
If this information needs to be changed after the screening, you can make the modification within the Application Form, save, click the “Update Results” box and click OK on the pop-up confirmation.
This will look at the information you’ve changed and verify if the result will change based on your screening policy. Your company will not be charged for running this type of update, and this will not cause any additional inquiries on your applicant’s credit report.
Updating Results for Income amount:
In the event that screening was denied for insufficient income because the Gross Monthly Income on the application does not meet the property requirement of rent to income, you are able to verify with the applicant to confirm the amount listed for monthly income. If there was a typo or income that was not reflected in the Gross Monthly Income, an agent can update this amount, save, and run an "Update Results" report.
The status will return to Pending and the screening will continue, and the income verification (VOI) will begin.
In the event that the screening was denied after the income verification - VOI has been completed, you cannot run an "Edit" to change the denial status. The only way to proceed is to manually verify income following the instructions and documentation on the Application & Screening Resource Page. Once the Manual Income Verification Form is completed, you must submit a service request to Operations > Applicant Screening to have the screening and documentation reviewed and the status overridden.
If someone uploaded a paystub instead of connecting their bank information and want to show that they have more income to be considered, the option to resend the VOI to have them complete the banking option is available.
